Call recording: Aircall, RingCentral, Twilio

Connect your phone system and every finished call flows into Perceive8: recorded, transcribed, analyzed, and — when a CRM like HubSpot is connected — matched to the right contact or deal with a summary note attached.

Aircall and RingCentral are self-serve from the Integration Hub. Twilio serves a different purpose — outbound AI voice calls — and is set up together with our team.

Aircall

Aircall connects with an API token.

  1. In the Aircall dashboard, generate an API token (under your account's API settings).
  2. Go to Audio → Settings → Integrations, find Aircall, and click Connect.
  3. Paste the token and click Save.

Perceive8 verifies the token with Aircall before storing it, then registers a webhook with Aircall for you — there's nothing to configure on the Aircall side. The card shows the connected Aircall account, and auto-analyze is switched on automatically: every finished call is queued for transcription and analysis.

RingCentral

RingCentral connects with OAuth sign-in.

  1. Go to Audio → Settings → Integrations, find RingCentral, and click Connect.
  2. Sign in to RingCentral and approve the permissions. Perceive8 requests read-only access to your call log and call recordings — it can't place or change calls.
  3. You're returned to the hub with a confirmation.

Finished calls and their recordings are then sent to Perceive8 automatically for analysis.

What happens to each call

  1. Call ends. Your phone system notifies Perceive8 over the webhook that was registered at connect time.
  2. Transcription and analysis. The recording is transcribed and analyzed like any other conversation — summaries, topics, and scores appear in your dashboard.
  3. CRM write-back. If HubSpot is connected, the call is matched to a contact or deal and the analysis summary is attached as a note. See Connect HubSpot.

If a call can't be processed (a temporary provider outage, for example), the job is retried automatically rather than dropped.

Twilio (outbound AI calls)

Twilio is not about recording your team's calls — it's the carrier for outbound AI voice calls placed by Perceive8's voice runtime. Setup requires three pieces from your Twilio console: the Account SID, the Auth Token, and the phone number calls should come from. Because this is tied to provisioning your voice runtime, it's configured together with the Perceive8 team — contact support and we'll walk you through it.

Disconnecting

Disconnect any of these from their card in the Integration Hub. Perceive8 stops receiving new calls from that provider and removes the stored credentials. Calls already transcribed and analyzed remain in your dashboard, and notes already written to your CRM stay there.

Troubleshooting

  • New calls aren't showing up. The provider webhook may have been removed or the token revoked. Disconnect and reconnect — the webhook is re-registered automatically.
  • A call appears but has no audio. Make sure call recording is enabled in your Aircall or RingCentral settings; Perceive8 can only analyze what the provider records.
  • Calls aren't matched to HubSpot records. Connect HubSpot first, and check that the contact's phone number in HubSpot matches the caller's number.
  • The Aircall token is rejected. Tokens are verified with Aircall before saving — generate a fresh one in the Aircall dashboard and make sure you copy the whole string.
