Connect HubSpot
The HubSpot integration closes the loop between your conversations and your CRM: Perceive8 reads contact and deal context before a call, then writes the outcome — a summary note from the call analysis — back to the right HubSpot record afterwards.
What you need
- A HubSpot account with permission to install apps (a HubSpot admin, or a user with App Marketplace access).
- Owner or admin access in your Perceive8 workspace.
Connect
- Go to Audio → Settings → Integrations.
- Find the HubSpot card and click Connect.
- Sign in to HubSpot, choose the account (portal) to connect, and approve the permissions.
- You're returned to the Integration Hub with a confirmation.
If you manage several HubSpot portals, double-check you picked the right one — Perceive8 connects to exactly one portal per workspace.
What flows between the two systems

Notes are standard HubSpot engagements, so they appear in the record's activity timeline and work with your existing views and reports.
Automatic call matching
HubSpot becomes much more powerful once a phone system is connected. When Aircall or RingCentral is also active:
- A call ends and is sent to Perceive8 for transcription and analysis.
- Perceive8 matches the call to the relevant HubSpot contact or deal.
- The analysis summary is attached to that record as a note — no manual logging.
Without a phone integration, you can still push any meeting or call analysis to a chosen HubSpot contact or deal from the analysis page.
Keeping the connection healthy
- Access tokens refresh automatically — you don't need to sign in again under normal circumstances.
- If HubSpot access is revoked or expires beyond recovery, the card shows an error state; click Connect again to re-authorize. Nothing already synced is lost.
Disconnecting
Click Disconnect on the HubSpot card. This stops all syncs and note writes immediately. Notes and data already written stay in HubSpot, and analyses stay in Perceive8 — disconnecting never deletes anything on either side. You can also uninstall Perceive8 from HubSpot's Settings → Integrations → Connected apps.
Troubleshooting
- You're asked to reconnect repeatedly. The HubSpot refresh token has expired or was revoked — reconnect once from the Integration Hub.
- Calls land on the wrong contact or not at all. Matching depends on the data in HubSpot (for example, phone numbers on contact records). Keep contact details up to date, and make sure the HubSpot user who authorized the app can see the contacts and deals you care about.
- Notes appear twice. This usually means an analysis was synced both automatically and manually. Perceive8 matches records by their HubSpot ID, so re-running a sync updates the same record rather than creating duplicates.
- A portal you expected isn't listed. You may be signed in to a different HubSpot account. Log out of HubSpot in your browser, then start the connect flow again.
