Joining meetings
Perceive8 captures live meetings with the Perceive8 Notetaker — an AI bot that joins as a visible participant, records the audio, and streams it for live transcription, scoring, and alerts. There is nothing to install: no browser extension, no desktop app.
What participants see
The bot joins as a guest named Perceive8 Notetaker. It is visible in the participant list like any other attendee — it is never hidden. It does not speak unless the Aria voice assistant is enabled and someone addresses it by name.
You (or the meeting host) must admit the bot from the lobby when it knocks. If nobody admits it within 10 minutes, it gives up and leaves.
Join a meeting manually
- Go to Audio → Streams.
- Click + Join Google Meet.
- Paste the meeting URL and optionally pick a playbook to score the conversation.
- Click Start.
- Admit Perceive8 Notetaker when it appears in the meeting lobby.
The session appears under Audio → Streams as soon as the bot is admitted, and the live transcript starts building within seconds.
Calendar auto-join
The hands-free option: Perceive8 watches your calendar and joins meetings for you.
- Go to Audio → Settings → Integrations and connect Google (the same connection covers Gmail, Calendar, Drive, and Meet).
- Open the Meeting auto-join section that appears on the integrations page.
- Review your upcoming meetings for the next 48 hours and toggle auto-join on for the ones you want captured. You can also pick which playbook scores each meeting.
Perceive8 then sends the Notetaker to each enabled meeting about 90 seconds before the scheduled start. If a meeting is already in progress, it can still join up to 30 minutes late.
Good to know:
- Cancelled and all-day events are never joined.
- Each workspace can run up to 3 meetings at the same time; additional overlapping meetings wait for a free slot.
- If you set a default playbook in the auto-join section, it applies to every auto-joined meeting. Without one, Perceive8 matches keywords in the meeting title to your playbook names.
When the bot leaves
The bot leaves automatically when:
- The meeting ends or everyone else has left
- It has been alone (no other audio) for 60 seconds
- You remove it from Audio → Streams
Every meeting runs on its own isolated, ephemeral environment that is destroyed when the meeting ends.

For Zoom and Teams calls today, record the meeting and use upload instead — you get the same transcript, scoring, and reports.
Aria voice assistant
When the voice assistant is enabled, meeting participants can address the bot by name: "Aria, what action items do we have so far?" Aria answers out loud — it can recap the conversation, check your calendar, or search workspace files. See Aria assistant.
Your responsibilities: consent
Recording and analyzing a conversation involves other people. Before your first meeting:
- Tell participants the meeting is being recorded and analyzed. Many jurisdictions require it, and it is good practice everywhere.
- Configure your consent preferences under Audio → Privacy.

Troubleshooting
- The bot never joined — check that the meeting link is a Google Meet link and that someone admitted it within 10 minutes of it knocking.
- The bot left early — it leaves after 60 seconds without other participants; if you stepped out to admit others, rejoin quickly.
- Auto-join didn't fire — verify the per-meeting auto-join toggle is on in Audio → Settings → Integrations → Meeting auto-join, and that your Google connection shows as active (a banner appears if it needs reconnecting).
